Start of Year (SoY) reminders
SoY screen closes
The SoY screen closes on 21 February 2025.
Restarting term-time-only employees (TTOs) and fixed term teachers
Have you restarted all your term-time-only employees and fixed term teachers? For them to be paid in pay period 24, you must restart them in the Start of Year screen by 5.30pm on 13 February. To see if any employees still have to be restarted, go to the Start of Year Restart job tab, click the Add employee to be restarted box and check the restart counter at the bottom of the page. Please make sure your restart counter is at zero.
2025 annualisation agreement change form (EP24nt)
The 2025 EP24nt form is now available on the EdPay website.
Annualisation top-ups in pay period 24
Annualised employees who completed the 2024 annualisation period and who are owed a top-up amount will receive it in pay period 24, pay day 18 February 2025.
Top-up amounts include:
- a holiday pay top-up for additional hours worked throughout the year, and/or
- a percentage of gross earnings for pay periods 19–22 if they were term-time-only in 2023 but annualised in 2024.
Holiday pay and parental leave – requesting earlier payment
If a teacher’s parental leave begins mid-year and they will not return until the following year, they can ask for their holiday pay to be paid when they go on leave instead of the end of the year. When you book their parental leave in EdPay (or by completing a leave bookings form - EP12), you can also complete a general enquiries form (EP31) to request their holiday pay at the same time as they begin leave.
Adding/removing EdPay authorised users
The payroll update is sent to all authorised users of EdPay and we sometimes get replies asking to remove someone from the distribution list and to send it to a different employee instead. Unfortunately, we can’t change authorised users or their details without signed approval from the school.
Email a copy to support@novopay.govt.nz and keep a copy for your records.

2024 audit reports – key dates
You will be able to download the 2024 audit reports from 7 February 2025. Your school’s financial statements need to be with auditors by 31 March 2025 and your school’s annual reports need to be submitted to the Ministry by 31 May 2025.

Automatic removal of 11AP for secondary schools – reminder
The removal of the 11AP allowance in secondary schools is now effective. You will see any changes for your employees in your school’s SUE report.
End of Year survey results
Finally, we were delighted with the results of our End of Year survey. It was great to see that most people responded positively to changes we’ve made in the last few years and are finding the End of Year process easier to complete each year. We aim to continuously improve our service, so we’ve also taken on board the feedback about other changes you would like us to make. We’ll let you know what we’re doing with your survey feedback in another update later in the term.
