1. Librarians, library assistants and science technicians' pay equity

In pay period 10 (pay day 8 August 2023), these employees were paid on the new pay equity rates including any increments, backdated to 23 November 2022.
In pay period 11 (pay day 22 August 2023) there will be another payment to employees who were paid term-time only or by timesheet in December 2023. The payment will be to cover the difference between the annual leave they were paid as a lump sum in pay period 19 (pay day 13 December 2022), and the annual leave calculated under the new pay equity rates.

2. Check the Auto Increments screen in EdPay for employees due to progress

Employees on the latest Support Staff in Schools’ Collective Agreement or Individual Employment Agreement, and employees who are eligible for the Librarians and Library Assistants’ pay equity claim settlement, or Science Technicians’ pay equity claim settlement, can automatically progress to a higher salary step every year on their anniversary date.

When their anniversary date is coming up in the next 90 days, they will show on the Auto Increments screen in EdPay.
You’ll need to check the employees on this screen regularly in case an increment needs to be deferred. For instructions about how to do this, go to: Defer automatic salary increments for support staff (Training, EdPay.govt.nz)

3. ACC 2023 levy invoice now ready in EdPay

Your school’s 2023 ACC levy invoice is a now available to download. Go to EdPay > Reports tab > ACC EoY report > 2023 invoice. 

Your school’s levy will be deducted from your account on 12 September 2023. Please make sure there will be enough funds in your account on that date.

Schools must pay an ACC employer levy every year. This covers work-related injuries for school employees whose salary is funded through operational grant funding. The levy amount is based on leviable earnings, and this year the rate has decreased from $0.32 to $0.26 per $100 of leviable earnings.

4. Primary Teachers' Individual Employment Agreement

The new Primary Teachers' Individual Employment Agreement (IEA) has been added to the IEA Change screen in EdPay. Primary teachers are eligible for the IEA if they don’t belong to a union.

After a teacher has signed the Primary Teachers’ IEA 2023, you can update their details in EdPay (no need to send in an EP22 form).

Go to: EdPay > My School > Administration > IEA Change

You’ll see a list of different IEAs that have been added to EdPay so far.

Click on Primary Teachers’ Individual Employment Agreement.

You’ll see list of teachers at your school who are eligible for this new agreement.

Enter the date the teacher signed the new agreement in the Date Signed column. The date must be on or after the promulgation date (this is 14 August 2023 for the Primary Teachers’ IEA).

Then select the blue SUBMIT button.

The new pay rates for the Primary Teachers’ Collective Agreement and IEA will be applied in pay period 12.

5. Make pay details changes for annualised employees on an EP24nt

Many pay details changes can be made in EdPay in an employee’s Job screen but some pay details changes for annualised employees need to made via a form.

Grade, step, pay rate, hours, work pattern and allowance changes for annualised employees need to be made by sending in an EP24nt form. Go to EdPay and forms (EdPay.govt.nz)

Designation code and tenure changes, or changing the employee from annualised to being paid during term time only or by a timesheet, can be made in the employee’s Job screen in EdPay.

Annualisation is a process that term-time only support staff can opt into, that divides their earnings into equal fortnightly pays throughout the year (including during school holidays).
