Fixed-term teachers and holiday pay clarification

We’ve been asked for more information about fixed-term teachers and holiday pay. We realise this is a complex area with lots of variables, so here’s a recap of the information we’ve already sent plus a quick reference guide table.

Restarting fixed-term teachers

  • Fixed-term teachers (and term-time-only employees) need to be restarted in the Start of Year screen.
  • You will need to choose a ‘Reason for restart’ for fixed-term teachers who started after 7 February 2024 (ie, who don’t pass the full year test).
  • If a fixed-term teacher will become a permanent teacher in 2025, don’t restart them in the Start of Year screen. Go to their Job screen and change their Job details to permanent.

Holiday pay for fixed-term teachers

  • Fixed-term teachers whose contracts end in 2024 received their holiday pay in PP19.
  • For fixed-term teachers who:
    - are continuing in your school next year (eg, their contract continues to mid-2025), and
    - you have entered a restart reason in EdPay.\

These teachers will have their holiday pay recalculated as if for a permanent teacher. This recalculation will happen from pay period 20 in the pay period they are restarted.

  • Fixed term teachers who passed the full year test (ie, started on or before 7 February 2024) will continue to be paid fortnightly, unless their job has been terminated with a 2024 end date.

Fixed-term teachers – restart action and holiday pay

This table is only relevant for fixed-term teachers who:

  • started after 7 February 2024 (ie, who don’t pass the full year test), and
  • were paid holiday pay in PP19.

* contract ends on or before 27 January 2025
