We’re back with another edition of the payroll update. In this update we are confirming the dates of three EdPay outages that are coming up. We’re also advising that the Out of Cycle dates in pay period 7 are one day earlier in schedule due to the Matariki public holiday.  Finally, we have a few reminders and tips to help with your payroll tasks.

1. Scheduled maintenance for EdPay

EdPay has three scheduled outages coming up. These will be outside of business hours. We know that sometimes people need to work on evenings and weekends, so please make a note of these dates. 

You can still send instructions or forms to support@novopay.govt.nz when EdPay isn’t available. Sometimes you may not receive a confirmation email until EdPay is back online.  We apologise for any inconvenience this may cause. 

Outage 1: 30 minutes 5-5.30pm on Wednesday 26 June 2024.

Outage 2: Full weekend to test our disaster recovery 8am Saturday 29 June to 5pm Sunday 30 June.

Outage 3: Full weekend to complete our disaster recovery test, 8am Saturday 13 July to 5pm Sunday 14 July.

2. Pay period 7 Out of Cycle (OOC) date changes

The Matariki public holiday is on Friday 28 June 2024 and this means the OOC cut-off and payment dates will be one day earlier than usual. 

  • OOC cut-off:  12pm, Wednesday 26 June 2024 (instead of Thursday 27 June).
  • OOC payments paid: Thursday 27 June 2024 (instead of Friday 28 June).

3. Timesheet funding code for out of hours music jobs

The funding code 11240 can now be selected when entering a salary timesheet for employees with out of hours music jobs in EdPay.

4. Hours, leave without pay or termination date - please update EdPay straight away

If your employee has a pay-affecting change, please update EdPay before each pay period’s cut-off dates. This will ensure employees are paid correctly and prevents overpayments that need to be paid back.  Pay-affecting changes are things like:

  • change of hours
  • taking leave without pay
  • someone resigning (advice about their job termination date).

5. Tips for using the search on EdPay.govt.nz

Here are some tips for getting better search results on EdPay.govt.nz.

  • Use keywords, rather than long phrases or paragraphs.
  • If you are searching for multiple keywords, select the tick box that says Advanced. Then remove the tick next to the option that says Contains all words. This will tell the search to look for any pages that contain any of those keywords, otherwise it will look for a single page that contains all the keywords you have entered.
