News for School Payroll Staff

End of Year screen closes at 5pm today

If you’ve already completed End of Year, well done!

If you haven’t, you have until 5pm today to complete your tasks. 

Completing your school's End of Year process ensures all employees are paid correctly over the term 4 holidays.

Please note, you cannot change your school's term 4 2022 end date after End of Year screens close today at 5pm.

Our phones will be open until 5pm today (and will go back to regular 9.30am to 3.30pm hours from tomorrow).


Download your End of Year report before 5pm today

The End of Year report CSV is also only available until 5pm today – please save a copy for your records if you need to.


Please check employees' last day of duty is correct today before 5pm today

It is important to check that all your employees have the correct last day of duty entered in the End of Year screen before 5pm today.

If you need to make pay details changes for an employee for 2022, make these changes in EdPay today, or send us a NOVO2nt form from 22 November.

The Start of Year screen is not available for two weeks after End of Year closes, to give time to process holiday pay for all employees.

If the employee is not returning in 2023, please terminate their job using the End of Year screen (before 5pm today) or your regular EdPay termination process from 22 November.


Changes to leave bookings for disregarded sick leave (DISSK)

There will be an EdPay update later today which allows you to book disregarded sick leave (DISSK) for some employees.

You will be able to book DISSK in EdPay for employees who are on the:

  • Support staff in schools collective agreement or individual employment agreement 2022, or
  • Kaiārahi i te reo and therapists collective agreement or individual employment agreement 2022.

Use the EdPay leave booking screen, and the leave code will appear in the drop-down menu for eligible employees only.

Continue to use your regular discretionary leave process for all other employees.


Backdated increments for Administration support staff and Kaiārahi i te reo pay equity claims

Backdated increments for the period 20 August 2021 and 4 October 2022 will be applied for these employees in pay period 17 unless they are moving between grades 2 & 3 and 3 & 4. These schools with employees (moving between grades 2 & 3 and 3 & 4) have been emailed with the next steps they need to take.

Employees should have received their increment as of 20 August 2021/2022. However, due to an error, the increment was as of 22 August 2021/2022.  We apologise for this and it will be corrected in pay period 18. There is nothing you need to do.

The recalculation for holiday pay for vacation 4 2021 based on the new rates will be applied in pay period 18.


New EP22 form for Individual Employment Agreement (IEA) pay change for all employees

There is a new EP22 form on the website. This is for staff who have signed the latest IEA following a newly ratified collective agreement. The new EP22 combines the old NOVO22t for teachers and the NOVO22nt for non-teachers.  

The EP23nt for 2023 is on the website now. This replaces last year's NOVO23nt. We are in the process of updating all our forms (although we encourage you to use EdPay rather than a form whenever it is available).

Tell us who to contact in case of an emergency

Sometimes we need to contact your school and we cannot get a response via the existing contact details (especially when schools are closed due to lockdowns or the term 4 break). We need the name, phone number and email address of your school's designated authorised user. If you've already told us you don't need to do anything. Otherwise let us know the right contact by emailing support@novopay.govt.nz with 'Emergency contact' in the subject line.
