Overpayments – please remember to send us a signed offset letter

Sometimes employees receive more pay than they are entitled to. The overpayment could be due to a processing error, or a late or incorrect pay change submission, for example, a late submission of Leave Without Pay.

If you notice there has been an overpayment, please have a conversation with the employee.  The overpaid money can be deducted from the employee’s next pay, and the employee will need to sign an ‘offset letter’, authorising Education Payroll to make this deduction.

Please follow these steps: 

1. Download and print the offset letter:

2. Ask the employee to sign the letter.

3. Scan and email the completed, signed letter to: support@novopay.govt.nz

Holiday pay reduction for teachers taking unpaid leave during the term

If a teacher takes unpaid leave during a school term, a holiday pay reduction may be needed. This would show up on the SUE report as code ‘HPR’. At the beginning of each term break, holiday pay reductions are calculated for all teachers who have taken unpaid leave during the term just ended.

The holiday pay reduction will be made from the employee's pay that falls over that term break. When employees apply for Leave Without Pay, schools should advise them that it may affect their holiday pay.

Tax changes in pay period 10

Following the changes to the personal income tax thresholds that were announced in the Government’s Budget 2024, we are working to ensure a smooth transition to the new tax rates. The tax changes come into effect from 31 July. The pay school employees receive from pay period 10 (pay day 6 August) will be taxed at the new rates. There is nothing schools need to do.

2024 ACC levy invoice

Schools need to pay an ACC employer levy every year. The levy covers work-related injuries for school employees whose salary is funded through operational grant funding. The school’s levy amount is based on its leviable earnings, and rate is $0.26 per $100 of leviable earnings.

From 14 August 2024, your school’s 2024 levy invoice will be available to download from EdPay. Go to EdPay > Reports tab > ACC EoY report > 2024 invoice.

On 10 September 2024, your school’s levy will be deducted from your school’s account. Please make sure that there will be enough funds in your account on that date.

Primary principals increase to Literacy and Numeracy Allowance

From pay period 9 (pay day 23 July), principals on the Primary Principals’ (NZEI) Collective Agreement 2023–2025 or Individual Employment Agreement 2023, were paid an increase to the base payment of the Leadership in Literacy and Numeracy Allowance. The increase is effective from 22 July 2024. The base payment is increasing from $2,320 to $4,000. There is nothing schools need to do.
