Thank you for completing your End of Year process. It was great to see how many of you were ahead of the game and completed the four steps well before the screen closed. This newsletter contains reminders and key dates as we approach Start of Year (SoY) tasks, and information about:

  • holiday pay and termination pay
  • holiday pay reductions
  • extended phone hours in pay period 19
  • the next salary tranche increases for principals and teachers
  • 2025 calendars, and
  • the End of Year survey on EdPay.

Start of Year screen opens 2 December

The SoY screen will be open in EdPay from 2 December 2024 until 21 February 2025. The final dates to complete key SoY actions are in the table below.

Annualisation

Annualisation is the process of spreading out the earnings of support staff who work during term time only into equal fortnightly pays throughout the year (including during school holidays). Annualisation doesn’t roll over, so a new EP23nt form needs to be sent in each year.

Holiday pay and termination pay for teachers and non-teachers

Holiday pay and termination pay calculations are based on the collective agreement for the employee’s job. For more information, please see these pages on our website:

Timesheet-only employees and public holidays

Timesheet-only employees who are eligible for the Christmas week public holidays will be paid these in pay period 20, pay day 24 December. It will be based on their timesheets paid in pay period 18 and 19. This is the only time we automatically pay public holidays to these employees. The public holiday days are Christmas Day, Boxing Day, New Year’s Day, and Day after New Year’s Day.

Holiday pay reduction for teachers who took unpaid leave

Holiday pay reductions are calculated after each term for teachers who have taken unpaid leave during that term. A reduction in a teacher’s holiday pay will:

  • be made from the pay in that term break, and
  • show on the SUE report as code ‘HPR’.

Please remind teachers when they apply for leave without pay that:

  • it may affect their holiday pay, and
  • different agreements calculate reductions in different ways. They should refer to the remuneration/holiday pay section of their employment agreement find out how their reduction will be calculated.

Extended phone hours

We will extend our phone hours at the end of Pay Period 19 to give you more time for any queries about holiday pay.

Friday 6 December to Wednesday 11 December               9.00am to 3.30pm

Salary tranche increases – principals and teachers

In pay period 19 (pay day 10 December 2024) principals and teachers covered by the latest agreements will be paid the 2 December 2024 base increase, according to their salary step. There is nothing schools need to do.

The increase only applies to principals and teachers covered by the latest collective agreements, or a corresponding Individual Employment Agreement. Principals and teachers not on these agreements will not receive the base increase.

2025 calendars

Payroll calendars for 2025 are now available on our website. The Payroll calendar page (Edpay.govt.nz) includes:

  • a printable calendar
  • the processing schedule
  • the fortnightly pay cycle, and
  • iCal items to add to your school calendar.
